The Specialist, Human Resources located in the Richmond Hill office will be on a hybrid work arrangement. Reporting to the National Manager, Human Resources, the Specialist, Human Resources is responsible for the onboarding/offboarding process, day-to-day administrative support, systems maintenance, policy management, recruitment and selection, awards submissions, facilitation of surveys, HR intranet page maintenance, supporting audits, ensuring compliance and corporate communications for all Mazda Canada Inc locations.
Essential Duties include (but are not limited to):
Collaborate with the HR team to complete onboarding/offboarding responsibilities
Respond to internal/external inquires as first point of contact
Manage the HR inbox including responding to internal/external inquiries
Maintenance of HRIS (DayForce), Rewards and Recognition System (Kansha), Learning Management System (Skillport) and Visitor Management Software (iLobby)
Work in partnership with HR team and Legal team to revise/update policies and post on Intranet
Manage, research and update all COVID-19 policies and restrictions for all Mazda Canada Inc. locations and regions
Collaborate with Senior Management to determine departmental needs for co-ops/summer students
Compile all requests and obtain approval for co-ops/summer students
Spearhead full cycle recruitment including resume review, phone screens, onboarding
Responsible for entirety of Top Employer submission on a yearly basis with collaboration with multiple business units
Responsible for report generation and maintenance for PayScale Compensation Platform, AON Hewitt Survey and Global Engagement Survey
Manage all new hire surveys and update as needed
Responsible for the upkeep of the intranet HR page including policies, contact information and programs
Organization chart and monthly maintenance of PDF records
Collaborate with independent auditors to provide documents as needed
Facilitate all compliance training through the Learning Management System
Collaborate with IT department for yearly policy submission by providing the most current active employee report, administer policies and track progress
Responsible for corporate communications regarding onboarding/offboarding, HR Programs and Policies
Completed post-secondary education, preferably in Human Resource Management or Business Administration
3+ years of progressive Human Resources experience with exposure to multiple HR disciplines (e.g. compensation, benefits, recruitment & selection, training & development, organizational development)
Experience interpreting and advising on policies and practices
Good analytical skills and attention to detail
Strong communication skills (listening, verbal & written)
Demonstrated ability to quickly and effectively assess situations to determine business needs
Excellent time and project management skills with proven organizational and multi-tasking proficiency
Organizational agility, with a high level of comfort in dealing with employees at all levels
Ability to build rapport and maintain high level of confidence and integrity at all levels of the organization
Ability to work with confidential information
Proficiency in using Microsoft Word, Excel, PowerPoint and Visio
