Bilingual Coordinator, Warranty Business Programs - 18 Month Contract

Reporting to the Supervisor, Warranty Systems and Programs, the Coordinator, Warranty Business Programs will be responsible for administration activities related to Mazda Canada’s suite of warranty programs including: Mazda Added Protection (MAP), Mazda Appearance Protection and other Warranty Business Office programs.  This includes providing administrative support to the various Warranty Business Programs stakeholders, including: dealers, internal or external inquiries and month-end reporting.
 
Essential Duties include but are not limited to:
  • Respond to internal/external stakeholder inquiries (phone & email) in a timely manner
  • Responsible for completing manual MAP contract activations and cancellations and for assisting Dealers when they have any issues
  • Responsible for processing cancellation refunds when approved by management in accordance with established MCI policies and procedures
  • Perform financial adjustments to Dealer and Vendor-partner accounts when necessary
  • Responsible for the successful completion of the monthly MAP sales month-end process
  • Responsible for compiling monthly MAP sales results with accompanying analysis
  • Responsible for the preparation and distribution of monthly MAP sales and various cancellation refund reports
  • Prepare monthly MAP sales incentive program payouts – Threshold & Lump Sum programs
  • Responsible for the administration of the RPM Rewards incentive program benefitting Mazda Business Office Managers (compilation and submission of monthly RPM Point values to RPM Point redemption website host.)
  • Liaise with various Mazda Canada Departments to resolve customer issues and improve processes
  • Responsible for the distribution of Warranty Business Office product sales materials and other documents to stakeholders
  • Other department administrative duties as required
 
Qualifications (Experience, Knowledge & Skills Required):
  • Bilingual (English/French) verbal and written communication skills
  • Post-secondary degree or diploma in a business-related field
  • 1-2 years of relevant work experience
  • Strong knowledge of Microsoft Word, Excel and PowerPoint within Office 365 environment
  • Excellent organizational and time management skills
  • Ability to multi-task, self-prioritize and work well under pressure
  • Strong customer service skill 
  • Strong attention to detail
  • Strong communication and interpersonal skills
  • Ability to embrace change and ambiguity, shifting gears when necessary while working within clear monthly deadlines
  • Ability to manage peak volumes of routine tasks seamlessly and in a timely manner
  • Solid problem-solving skills with the ability to provide recommendations for improvement
  • Automotive experience an asset
